The Hora Finita portfolio is the tool where PhD candidates keep track of their training activities and upload appropriate items of proof (e.g., Course certificates). The searchable portfolio overview will be visible for the PhD candidate, the PhD supervisors, and the graduate school, and can also be downloaded. In the manual, you can find the information on how to add activities to your portfolio, while adhering to the VLAG instructions below.

VLAG will review the portfolio at the start of the third year of the PhD project and when you request a review of your complete portfolio.

Tip for PhD candidates: start using the Portfolio function to record all completed activities to date. This will give you a clear overview, and provide a central place to store any proof, such as your certificates.

Tip for PhD supervisors: ask your PhD candidate to update their portfolio prior to their annual Performance & Development meeting, so you can view the updated training list in Hora Finita.

 

VLAG specific guidelines

  • When entering a conference or symposium, start the title with the name of the conference and, if applicable, add between brackets poster or oral in case you presented at this conference. (e.g. European Congress on Biotechnology (poster)).
  • In the description field you need to add information on the duration of the activity (number of hours or days), and if possible, a link to the activity. The description field is only for extra information, this information will not be shown in your final list of activities.
  • in the organizer field add the name of the organizing institute

Portfolio approval: requesting the VLAG Education Certificate 

In the final phase of the PhD trajectory, the portfolio function 'portfolio approval' is used to request the VLAG Education certificate. In the manual, you can find the information on how to ask for approval of your completed portfolio.

Approval procedure Hora Finita portfolio by PhD Supervisor 

When the PhD candidate requests a certificate the first supervisor will receive a request to look at the portfolio overview and agree or disagree with the request. We only need confirmation that the supervisor explicitly approves the overview of the training completed; VLAG will still do the check whether the requirements have been met, and whether the credits allocated to these activities follow our rules and guidelines.

Approval procedure after Supervisor approval by VLAG Graduate School

VLAG will check your list of activities, change information if necessary (for instance the number of credits, the category) or ask for clarification. We will then approve the Portfolio and prepare your certificate, which will be handed out to you at your graduation.

The approved list may be published in your thesis according to these guidelines:

  • Mention the four categories
  • Do not include the number of credits
  • Include the organiser of the course or meeting
  • The heading of this list should be Overview of completed training activities
