Graduation Process

1. Graduation Status

Once you have fulfilled the requirements of your degree programme, Osiris will determine that you meet the minimum criteria to graduate.

2. Graduation

You will receive an automatically generated email stating that you are a potential graduate. This email initiates the graduation process.

If you do not wish to graduate yet (for example, because you have included an additional course in your programme), you must submit a request to postpone your graduation within 3 working days (excluding July and August). If you do so, your diploma request will not be forwarded to the Examining Board. If you already know that you will need to request a postponement, you can arrange this immediately by sending an email to the Student Service Centre.

3. Assessment

Your diploma request will be forwarded to the Examining Board. In the middle of the following month, the Examining Board will formally determine your graduation and decide whether you qualify for graduation cum laude. You will be notified of this decision automatically by email.

If your final grade is entered into Osiris after the last day of the month in which you completed your final course, your graduation will only be officially assessed in the Examining Board meeting of the following month.

4. Deregistration

It is important to submit a deregistration request via Studielink no later than the last day of the month in which you have met the requirements of your degree programme (see point 1). Your final grade does not need to be registered in Osiris yet for this step. In Studielink, choose “graduation” as the reason for deregistration. Your deregistration request will only be processed after you have officially graduated. If you do not graduate, you will not be deregistered. Timely submission is important, as you may be entitled to a partial refund of your tuition fees. For more information, please refer to the relevant regulations.

Important: Deregistration with retroactive effect is not possible!
You must also personally terminate your student finance and public transport card (OV) at DUO. Your entitlement to student finance and the OV card ends on your deregistration date, so make sure to arrange this before that date. A useful tool for handling these matters can be found on DUO’s page Klaar met je studie (Finishing your studies).

Example: If you have submitted a request in Studielink to be deregistered as of 1 January, you must also terminate your student finance and OV card at DUO with effect from 1 January, and do so before that date.

What is your graduation date?

If your last grade is for a cursory course and you have approved electives…

then your graduation date will be the last Friday of the exam period. Submitting a withdrawal request on time is important because you may be entitled to a partial refund of your tuition fees.

Note: Even if you have not included any electives in your study programme, you must still request approval.

If your last grade is for a non-cursory course (f.e., your thesis or internship) and you have approved electives…

then your graduation date will be the date when you have fully completed all components of the assessment. This means:

  • If you have completed all components by the date of the final discussion, the date of the final discussion will be your graduation date.
  • If the last component is submitted after the final discussion, the submission date of the last component will be your graduation date.

Submitting a withdrawal request on time is important because you may be entitled to a partial refund of your tuition fees.

If your last grade is entered in Osiris AFTER the last day of the month in which you completed your final course, your graduation will only be officially assessed at the Examination Board meeting of the following month.

If all your grades have been recorded, but you have no approved electives…

then your graduation date will be the date on which your study programme is approved.

As long as you have requested a postponement of graduation, you are not considered graduated. Your graduation date will be the date on which you notify by email that you wish to graduate after all.

Note: If you do this after 31 August, make sure to re-enrol for the new academic year in Studielink on time, otherwise you will not be able to graduate.

Diploma Ceremonies

The schedule for the BSc and MSc ceremonies can be found on the Graduation & Diploma page.

The diploma will only be awarded to the student if all financial obligations to the university have been met.

For graduated BSc & MSc students, a Graduation Ceremony case process is started, in which you can register for a ceremony. You must submit the case process in Osiris Student to be able to participate. If you have indicated that you do not wish to participate, you will receive information by email about how to receive your diploma.

Participants in the BSc ceremonies may bring a maximum of 4 guests. Participants in the MSc ceremonies may bring a maximum of 6 guests.

Requesting a Postponement of Graduation

Osiris determines, based on your achieved study results, when you meet the requirements of your approved study programme. At that moment, the diploma application is automatically initiated. By default, Osiris does this at 180 ECTS for the BSc and 120 ECTS for the MSc.

If you do not wish to graduate at that time, you must request a postponement of graduation yourself. This is necessary when you have included more than the required number of credits (BSc 180 / MSc 120) in your study programme. You must request a postponement if, after meeting the requirements of your approved study programme, you want to take a course that is not compulsory within the study programme.

You can check this, among other things, in your Study Progress Overview. A Yes will appear next to each component.

If you are unsure whether it is necessary to request a postponement, please contact SSC.

Postponement requests must be submitted within 3 working days, except in July and August.

As soon as you are certain that, after meeting the minimum requirements of your approved study programme, you still want to take another course, you can request a postponement of graduation. Send an email to the Student Service Center no later than within the first 3 working days after receiving the email that you are potentially graduated, and indicate for which programme you want to request the postponement. Your diploma application will then not be forwarded to the Examination Board.

In July and August, you must request a postponement on the same day you receive the Potentially Graduated email. If you are aware of this earlier, it is advisable to request the postponement immediately.

Note! If you request a postponement, you are personally responsible for requesting graduation at the time you actually wish to graduate!

If you do this after 31 August, make sure to re-enrol for the new academic year in Studielink on time, otherwise you will not be able to graduate. When you are ready to graduate, you must send an email to the Student Service Center.

Your official graduation date will be the date on which you send the email. This means that you will still need to pay tuition fees for the month in which you send the email.
