Termination of enrolment at your own request
Wageningen University & Research processes interim deregistration requests from students during the academic year. Deregistration takes effect on the first day of the month following the month in which the Student Service Centre received the request.
If you want to stop your programme, you must submit a Request for Deregistration via Studielink. After submitting the request, you will receive a confirmation from Studielink. If you stop your studies in June, July, or August, you do not need to submit a deregistration request. Your enrolment will then automatically end on 1 September.
Important! Deregistration cannot be processed retroactively.
You are responsible for stopping your student finance and public transport student product (OV) with DUO. Your entitlement to student finance and the OV product ends on the deregistration date. Make sure to do this before the deregistration date. Example: If you submitted a request to deregister as of 1 January via Studielink, you must also stop your student finance and OV with DUO as of 1 January.
Tuition Fee Refund
If you want to deregister due to graduation, make sure to submit a Request for Deregistration no later than the last day of the month in which you meet the requirements of your examination programme. In other words, no later than the day of your final exam or the day you submit the last component of your thesis or internship. Your final grade does not need to be registered in Osiris for this. See also Graduation – WUR.
In Studielink, you will be asked for the reason for deregistration. If you select ‘graduation’, the SSC will only terminate your enrolment if you have actually graduated.
After deregistration, you may be entitled to a refund of paid tuition fees for the remaining months of the academic year. Make sure to submit your deregistration request before the last day of the previous month. The refund of any overpaid tuition fees will be automatically processed after your deregistration request. If you deregister as of 1 July or 1 August, no refund will be issued. Your enrolment will automatically end on 1 September.
Exception:
If you have already submitted a new request for enrolment for a future period, you will not automatically receive a refund. The amount to be refunded will be offset against the amount due for your future enrolment. If you do wish to request an interim refund, please contact us via the SSC Contact Form - WUR.
If you have submitted a BBC (Proof of Paid Tuition Fees) from Wageningen University for the purpose of a second degree at another institution, the value of this BBC will expire upon deregistration. Wageningen University will inform your other University/College about this deregistration.
Termination of enrolment by the institution
The institution may terminate the enrolment of a student or extraneus during the academic year in the following cases (Article 5.3):
Situation 1
If, after enrolment, it appears that the enrollee did not meet one or more enrolment requirements at the time of registration, the enrolment will be terminated immediately.
Situation 2
If the enrollee, even after being reminded by the University, fails to comply with the obligation to pay tuition fees (or instalments) on time, the enrolment will be terminated as of the second month following the month in which the reminder was sent.
Situation 3
If the enrollee commits serious fraud related to the programme, as referred to in Article 7.12b, paragraph 2 of the WHW (in Dutch).
Situation 4
If the enrollee violates the rules and measures set by the institution’s board regarding the use of buildings and grounds, or otherwise causes serious nuisance, and does not cease this nuisance even after being warned by the institution’s board, the enrolment will be terminated as of the following month.
Progression from Bachelor to Master
If you have completed your Bachelor’s programme and wish to continue with a Master’s programme at WUR, please check our website.
Deregistration due to medical/psychological circumstances
Are there medical or psychological circumstances involved? Then make an appointment with the student counsellor via SSC.
If, due to your circumstances, it is unwise or impossible to continue studying, a student counsellor can advise you to (temporarily) stop your programme. Usually, the student counsellor will first request an assessment from a student psychologist or the student doctor.
If you decide to follow this advice, submit a Request for Deregistration via Studielink. Indicate the reason as ‘deregistration + reason for deregistration’. You will then be deregistered as of the first day of the month following your deregistration request.
Your request will be sent to WUR and processed. On your ‘My Studielink’ page, you can track the progress of your request via ‘My received messages’ and ‘My programmes (Status)’.
Once WUR has confirmed your deregistration to Studielink, your final status in Studielink will be Deregistered.
Studielink will send you an acknowledgement of receipt of your deregistration request. If you stop your studies on or after 1 July, you do not need to submit a deregistration request. Your enrolment will then automatically end on 31 August.
Important considerations when deregistering:
- Retroactive deregistration is not possible.
- You will be deregistered as of the 1st day of the month following your deregistration request, not earlier. For example, if you submit a deregistration request in September, you will be deregistered as of 1 October.
- You can specify a later deregistration date in your deregistration request.
Stopping student finance and the OV (public transport) product:
Your entitlement to student finance and the OV student travel product ends on the date of your deregistration. You must stop these yourself after deregistering via Studielink; this is not done automatically. For more information, see the DUO website (in Dutch). For example, if you deregister as of 1 October, you must also stop your student finance and OV as of 1 October (before 1 October).
Are you 30 years or older? After stopping, you will no longer be able to reactivate your student finance or OV product.
DUO provides a helpful Change Assistance Tool (in Dutch) that shows you quickly what else needs to be arranged.
Tuition Fee Refund:
- You are only required to pay tuition fees for the months you were enrolled. If you have paid more, you will receive a refund of 1/12 of the total tuition fee for that academic year for each month you are deregistered.
- If you deregister as of 1 July or 1 August, no tuition fee refund will be issued.
Financial consequences and arrangements:
- After deregistration, you can still use facilities that require a WUR account for 14 days. Exceptions can be discussed with the student counsellor, who may seek advice from the WUR student doctor or student psychologists.
- Once you are no longer a student, your rights to other agreements you entered into as a student also cease, such as student insurance (OW; must be cancelled yourself), student bank account, and student residence permit. Exceptions can be discussed with the student counsellor.
- If you do not have sufficient income or other financial means to live on, you can contact the UWV (in Dutch) to apply for benefits. The UWV will assess whether, and to what extent, you are able to work (assessment of work capacity).
Check your rental contract
Many students have a rental contract that requires proof of enrolment as a student. Usually, you can continue renting for several months up to a year without proof of enrolment from the university. Therefore, check your rental contract carefully.
If a temporary deregistration lasts longer than the period specified in your rental contract, a student counsellor can request that the rental agreement not be terminated during the deregistration period. Wageningen University has agreements with the student housing providers Idealis and DUWO that they will honour such requests from a student counsellor.
Statement of the termination of enrolment:
Sometimes you may need a statement of the termination of enrolment, for example for the assessment of work capacity. You can request this once your deregistration is fully completed and you have received confirmation via Studielink. You can request your statement by contacting ssc@wur.nl.
Re-enrolment:
Re-enrolment is possible as of:
- 1 September
- 1 January
- 1 February
- 1 March
- 1 May
- 1 July
Re-enrolment at any other time during the academic year is only possible in exceptional cases and with permission from the Head of the Student Service Centre and a student counsellor. The conditions must be discussed before deregistration in a personal meeting between the student and the counsellor.
