Summary

By data sharing we mean publishing research data in a repository, or sharing data with colleagues within or outside WUR. The WUR data sharing guidelines clarify when and how you can share your research data.

Research data should be ‘as open as possible, as closed as necessary’. Research data should be open to facilitate its reusability and to accelerate research. However, in some cases research data cannot be open for legitimate reasons. Then, research data can be archived within WUR’s internal infrastructure or published with restricted access.

Legitimate reasons for restricted data sharing are for example privacy regulations (GDPR), public safety, ethical restrictions, intellectual property rights, or commercial interests. When access to research data needs to be restricted or closed, the data must still be safely archived within WUR to meet the requirements of the WUR data policy. This means that the data should be archived in a system that fits the data classification, taking into account access management to the data (e.g. restricted to certain persons), as well as the size and quantity of files being archived.

The WUR data sharing guidelines are developed to help researchers determine whether research data can be shared openly or not.

Other practical guidelines at WUR

  • If you want to share research data with specific people or individuals outside WUR, agree upon a data sharing agreement (DSA) prior to sharing these data, to the extent this is not covered in an existing agreement. Please contact your legal department for further assistance in creating a DSA,
  • If you are sharing personal data, this data is always either restricted or closed and additional requirements apply to transfer of such data. There are specific templates available for transfers of personal data. Please contact your privacy officer for further assistance.
  • For transferring (large) data files, use SURFfilesender or Yoda.
