Instructions
As a WUR user, sharing files and folders on OneDrive, SharePoint and Teams with external users is a straightforward procedure:
- One shares the item with the e-mail address of the external user.
- The external user confirms their e-mail address by clicking the link that has been provided by email
- If the external address is known to Microsoft, the external user is prompted for Multifactor Authenication (MFA) - no verification code needed
- If the external address is NOT known by Microsoft, after verifying the e-mail address, the external user is sent a verification code to be provided in the verification window. After providing this code, the user is prompted for Multifactor Authenication (MFA)
In the example below, a folder named 'SharedOneDriveFolder' is being shared with an external user not known to Microsoft:
Clicking Share leads to this pop-up:
Clicking Send sends an invitation to the external users’ e-mail address:
The external user clicks the folder name or Open, after which verification starts:
External user receives a sign-in prompt, fills in their e-mail address and clicks Next:
After this, a code from Microsoft is sent to the confirmed email address:
After providing the code the prompt for consent window appears, if consent, user clicks Accept
Registration for MFA
After consenting, the registration for MFA starts, user clicks Next:
User is prompted to install Microsoft Authenticator phone app. After install (or no action if already installed), user clicks Next
To import the account to the app, user clicks Next
Using the Microsoft Authenticatop App, the user scans the provided QR code
The account is then automatically registered in the app, after which user receive the try-out prompt:
After providing the code, the authenticator is added.
Clicking Done takes the user to the shared location:
