On this page you can find tips and guidelines for travelling as during your studies. Whether you go as part of a thesis, an exchange, a summer school or conference, we wish you a pleasant stay.

Before travel
Permission & contract
If you travel abroad as part of your studies at Wageningen University & Research, you may need permission for international travel. This depends on the Dutch government's travel advice for your destination.

Travel is permitted only for an MSc Disaster Studies internship or thesis. You need permission from your supervisor, the chairholder and the Director of Operations, as well as unanimous positive advice from the Advisory Committee (student hierarchy) before departure. |

If you are going abroad for a thesis or internship, you also need an agreement drawn up with your WUR supervisor.
Please note: If you travel without the required permission, WUR will consider the trip a private activity. You will be responsible for the risks and costs, and you will not receive ECTS credits for it.
Safety courses
If you are travelling for a purpose other than an exchange, you must complete course ZSS06300 (General Safety), which includes a personal risk assessment. You can complete the course online at your own pace throughout the year. Once you have registered your trip in Osiris, you will be enrolled automatically.

Insurance
Health insurance
Did you arrange your insurance for the trip? Are all activities covered by your insurance? Check with your current insurance company if your stay abroad is covered (note the difference between EU and Global Insurance). Ensure that the coverage of your insurance is clear to you.
Travel insurance
If you register your study-related trip in Osiris, it is covered by WUR’s travel insurance. WUR pays for this insurance while you remain enrolled and your trip does not exceed 365 days.
A health insurance policy (which everyone in the Netherlands is obliged to take out) also covers (emergency) medical costs abroad as standard. Most health insurance policies have global coverage, but it is best to contact your insurance about what your coverage entails. WUR's collective travel insurance is supplementary, for example, in case of repatriation or if your health insurance does not cover certain things or the costs exceed those covered by your insurance.

Checklist
Passport & Visa
International travel requires a valid passport (or ID card). If you already have one, check the expiration date and be sure that it will be valid for the duration of your travel and preferably beyond. Many countries require that your passport be valid for some months after leaving the country. If you do not have a passport, you must apply in person at a passport agency or a designated courthouse. This process takes about 6 weeks, so plan ahead! For VISA information, we refer to the website of the embassy in the Netherlands.

Register at the Embassy
It is a good habit to register your stay with the embassy or consulate. This can help your government contact you in case of an emergency. Registration procedures vary by country, so check what applies to you.
Student Travel Product (OV-card)
If you have a Dutch student public transportation card (studentenreisproduct), remember to suspend your card during your semester abroad. You can download the relevant form from the DUO-IB website. The form needs to be signed by SSC (at the Student Desk in the Forum building), not at the Exchange Office. Remember to keep a copy of the form!
ICE (In Case of Emergency)
Where can you be reached in case of emergencies? Do you have an ICE contact in the Netherlands that you can reach or we can call? Do you know where the local hospital, the Dutch Embassy and the police station are?
Vaccination
Are you prepared for the situation abroad, and do you know what the health consequences can be? Are there foodborne, airborne or vector-borne diseases predominant in the area you are visiting? Do you need vaccinations, prophylaxis or other medical preparations for your stay? A good place to start is the vaccination centre on campus.
Registration Municipality
If you will spend more than eight months abroad within twelve months, you must report your departure to your municipality. The eight months do not have to be consecutive. The municipality will then deregister you from your Dutch address and notify other government organisations.
